When I first became a VA, I was overwhelmed by the learning curve, I cried more times than I care to admit. But I persevered and overcame, despite all the trials and errors. The world of virtual assistance is very diverse, and there are many free courses that cover a wide range of valuable skills that you can market to potential clients. 

  • Administrative tasks are the number one skill you will be helping your Virtual Assistant clients with. These range from managing calendars and organizing emails to data entry and creating systems that keep businesses running smoothly. 
  • Communication skills will help you interact with clients, understand their needs, and present yourself professionally. 
  • Digital marketing includes social media management, content creation, and email marketing to help businesses grow their online presence. 
  • Time management strategies will help you juggle multiple clients and projects while maintaining a work-life balance and delivering quality work on time.

When I first started on my VA journey, I had no idea what most of these tools were, and I learned on the go by Googling and watching tutorials on YouTube. Albeit a slow and painful way to learn at times, I am thankful that I was hired on by an agency, and was able to solely focus on expanding my skills and not having to market myself and do all the things that come with starting a business since clients were assigned to me directly and I didn’t have to go looking for them. 

Like lots of other industries, the Virtual Assistant industry can be a competitive place, especially if you are just marketing yourself as a general VA with no specialization. A great way to stand out from the crowd is to take some time to become an expert in an area, whether that’s learning the ins and outs of a specific software program, or being proficient in a specific service like Pinterest Management or Google Ads, for example.

Not all free courses are created equally, but these are some good free options that can help you expand your Virtual Assistant skills and amplify your portfolio. 

  • HubSpot Academy – HubSpot has hundreds of free courses on everything from content marketing, email marketing, and social media management, and they provide certificates that can boost your credibility.
  • Asana Certification – The Asana Academy offers certificate courses to become an expert at their platform, which includes developing foundational skills, becoming a workflow specialist, and the AI for Work Skills badge. 
  • ClickUp Certification – You can take courses from the ClickUp University, from a novice to an expert certificate, an admin certificate, and advanced AI skills. 
  • Udemy– There are also free courses on the Udemy platform that you can utilize to expand your skills. With a little bit of sifting, you can find great courses like learning how to use Gmail, Google Docs, Drive and Calendar, Virtual Networking, and Virtual Assistant Management
  • Google Skillshop is a goldmine for learning Google Workspace (Docs, Sheets, Calendar, Gmail), Analytics, and even running YouTube channels or Ads. These tools are often expected skills for VAs, and many clients prefer someone already familiar with them.   • LinkedIn Learning – Many libraries offer free access to LinkedIn Learning with a library card, or you have the option of signing up for their free month-long trial, getting as many courses done within the month, then cancelling your membership. These courses cover admin support, Microsoft Excel, communication skills, and even customer relationship management tools.
  • Allison Courses – Alison offers completely free courses in areas like Administrative Support, Business Communication, and Microsoft Office. These can help you niche down into executive assistant roles. 

Many of the most popular software programs that small business owners use will offer free certification programs, and once you’ve passed their courses, they will list you on their website as an expert, which can result in free client referrals for you.

Once you’ve mastered the general virtual assistant skills, you may want to specialize in an area that can help you command higher rates and attract higher-paying clients:

  • Canva Design School – is perfect for VAs interested in graphic design, becoming a social media manager, or a Pinterest manager.

There are honestly so many free options out there, and I am sure there are many others I have yet to discover. If you are thinking of specializing in a specific service or niche, don’t be afraid to take some time to Google or look into free course options that can help you build out your portfolio. Taking free courses is also a great way to try out a specific service to make sure you like it before fully committing to offering it as a service to potential clients. 

How to Build Your VA Business Using Free Courses

Once you’ve completed your free course, you’ll want to showcase your newly learned skill by adding it to your portfolio or creating one if you don’t already have one. Many Virtual Assistants have become fully booked from a simple portfolio alone. Once your business grows, and if you feel the need, you can create a website showcasing your services. But in the beginning, there really isn’t a need; a simple portfolio will do!

  • Create a portfolio showcasing the practical skills you’ve developed through your training. Make sure to include a few samples of your work, a list of your services, packages, and your pricing. 
  • Decide how your new skills will best integrate with your service offerings. Do you need to create new packages? Or will these new skills complement your existing packages and services?
  • Start showing up consistently on social media platforms where your ideal client hangs out, that for me is blogging, Facebook Groups, LinkedIn, and Pinterest. 
  • Connect with potential clients through cold pitch emails that highlight how your new skills could help them and their business.
  • Research what other Virtual Assistants are charging in your niche and for your specialized service.

Another great idea to build up your portfolio is to offer free work in exchange for a testimonial. This will help you build out your portfolio with sample work and testimonials to boost your credibility. 

As someone who is now switching gears and wanting to offer Pinterest Management services, I’ve posted in a few blogging Facebook Groups that I am looking for 3 to 4 clients who are willing to have their Pinterest audited or an account setup in exchange for a testimonial, and surprisingly people are more than willing to let you practice your skills on their accounts, especially since they are getting something out of it!

Mindset Shift for Beginner Virtual Assistants

I’ve already shared that when I started my journey to becoming a Virtual Assistant, I cried more tears than I care to admit. While that’s not exactly encouraging advice, it’s the truth. And in the spirit of keeping it real, I want you to know, you’re not alone.

With experience comes wisdom, and if I could go back and give myself one key mindset shift, it would be this: it’s totally normal to feel like an impostor when you’re starting something new. I had a friend who I worked with at the Federal Government who used to tell me all the time, “fake it till you make it”, and while some people don’t like that bit of advice, trust that you’re smart and determined, and you will figure it out. Confidence comes with doing, not waiting. You don’t need to feel ready to start your own Virtual Assistant business. Every VA starts off unsure, wondering what the right next move is or doubting whether they can make it work. That’s normal.

The next bit of advice would be, done is better than perfect, especially in the beginning, all too often we get caught up in the weeds of trying to establish our businesses and getting stuck on silly things like trying to determine which brand colors are going to attract our most ideal client, or what the name of our business should be. These aren’t determining factors for your success. Pick some colors you like and move on to the real money-making actions that will drive the needle forward in your business, like reaching out to potential clients you want to work with, or applying to job postings in Virtual Assistant Facebook groups. 

Finally, don’t compare yourself to others. There will always be people who are more advanced and have years of experience. On the flip side, you will be more advanced than others who don’t take action and stay stuck simply because you decided to start your own business. The important thing to remember is that someone out there is looking up to you because you’re more advanced than them. They’ll admire that you were courageous enough to take the first step.
